E-Mail FAQ (new system)

The new E-Mail System requires mozilla.org's "Thunderbird" E-Mail Client and that software is installed for you by The IT Tech Staff.
During an interim period, all users will use both Groupwise (GW) and Thunderbird for their e-mail.
Thunderbird will be used to communicate with anyone out on The Internet and communicate with any user listed in Thunderbird's "canton-global" address book.
Groupwise will be used to communicate with any City-of-Canton user not contained within the "canton-global" address book.


Address Books

• A Global Address Book (canton-global) is provided.
  
• Un-shared Personal Address Books grouping selected users are easily created from within Thunderbird.
• We can share address books across selected users (managed by The IT Staff).
• We can convert your present GW Address Books per your specific request to the IT Staff.
• We can provide you access to The County's GW Address Book.
  

Archival of Mail

• All Mail, both in-to and out-from the mail system is retained for 10 years. (10 years is an estimate at this time.)
  

Auto-update of Thunderbird Software ? Yes. Tools | Options | Advanced | Update- | by default the client is set in this way -> Automatically check for updates to: "Thunderbird" and "Add-ons" | When updates to Thunderbird are found: "Ask me what I want to do"

Calendars

• We can share calendars across selected users (managed by The IT Staff).
  
• We can share calendars with users who have smart-phones via Google Calendar.
  
• We can convert pre-existing GW Calendar-entries to a Thunderbird Calendar.
  

Forwarding to other accounts is possible - if it is really necessary. ...and, the IT Staff can tell you how to do that.

Hosting - at this time, we are employing one large server to host the e-mail system for cantonohio.gov ...another server will have to be built specifically for cantonhealth.org's e-mail. There is no timetable for cantonhealth.org's e-mail presently.

Mailboxes can be shared across selected users.

Multiple mailboxes can co-exist within the same Thunderbird client. No more proxying to other mailboxes.

Notify ? Yes, you will be notified when a new piece of mail arrives.

Old GW Mail - can it be moved to the new system ? Yes! ...just drag-and-drop. The sooner your old mail is moved, the sooner we can eliminate GW for all City Depts. Don't forget your GW Archived Mail - if you were using it. (You will have to un-archive that mail to be able to move it to the new server.)

Properties of a piece of mail ? As in, checking the status of a mail sent ? Utilize the "Return Receipt" function when sending the mail. (Options- | Return Receipt)

Reply with Out-of-Office message ? -> http://itnet ...Tech Tips | Out-of-Office message for e-mail.

Search & Filtering ? -> Search-box appears in the very right-hand-corner of the Thunderbird Client. Filtering can be accomplished via the View pull-down menu | Sort by

Signature ? -> Tools | Account Settings | Signature text

Smart-phones will be able to send/receive e-mail through this new system.

Spell Check ? -> Yes - automatically done for you.

Web-mail for the new system is accessible via http://mail.cantonohio.gov ...the web-mail that we employ is referred to as "Horde" Webmail. The Canton Health Dept. will have a different link to go to for their web-mail and we will post it here once it is established.
